Booking Terms & Conditions
Booking Terms & Conditions
The stuff that keeps our trips running smoothly and everyone protected, written to be read, not endured. Please give it a look before you book.
The short version
Because nobody should have to decode legalese to go skiing. Here's the gist:
- A $250 deposit holds your spot; the rest can be paid in up to four installments.
- Full refund minus the deposit if you cancel more than 6 months before departure. Within 6 months, we can't refund you, so please read the insurance section.
- Travel insurance is required.
- You'll sign a separate liability waiver before the trip.
- Our trips are real adventures with real risk. We handle the logistics; you show up ready to participate honestly and look out for the group.
- You can transfer your spot to someone else if your plans change.
This summary is just a friendly overview. The full terms below are what actually govern your booking.
01: Who we are & what this covers
We're Far Out, LLC ("Far Out," "we," "us," "our"), a limited liability company registered in Colorado and Nevada, USA. We design and run small-group adventure trips around the world — from ski and snowboard weeks in Japan to cycling and artisan safaris in Kenya — often in partnership with trusted local operators.
These Booking Terms & Conditions apply to every trip we sell, across all destinations and activities. When you place a booking with us — by paying a deposit or the full trip price — you're confirming that you've read these terms, that you understand them, and that you agree to them on behalf of yourself and everyone in your booking. If something here doesn't sit right with you, please reach out before you book rather than after.
"You" and "traveler" mean the person making the booking and each person traveling under it. If you book for other people, you're responsible for making sure they've read and agreed to these terms too.
02: Booking & confirming your spot
Our groups are intentionally small, so spots are limited and go in the order they're confirmed. Your place isn't held until we've received your deposit (or full payment) and you've agreed to these terms.
Once that's done, we'll send you a written confirmation. That confirmation is the moment a contract exists between us. Before you travel, you'll also need to complete and sign our separate liability waiver and provide proof of travel insurance (more on both below) — until those are done, your booking isn't fully secured for departure.
03: Prices & what's included
Each trip lists its own price and a clear breakdown of what's included and what's not, right there on the trip page. Prices are in US dollars. Read the specific trip page carefully — inclusions vary by destination.
As a general rule, our trip prices include things like accommodation, in-country transportation, group meals, guiding, and the planned activities described for that trip. They generally do not include international airfare, travel insurance, gear, alcohol, some meals, souvenirs, guide gratuities, or optional add-ons — but always defer to the specific trip page.
We work hard to keep our advertised prices accurate. On the rare occasion a price is listed in obvious error, we'll let you know before taking payment and you can choose to proceed at the corrected price or cancel for a full refund. Once your booking is confirmed, the price of your trip won't change unless you ask to change your booking, or in the unusual event of significant cost increases outside our control (such as major currency swings or new taxes and fees), in which case we'll explain any change clearly before it applies.
04: Paying for your trip
A $250 deposit holds your spot. The deposit counts toward your total trip price, but — as noted in the cancellation section — it is non-refundable.
You can pay the balance in up to four installments on a payment plan. Whichever way you pay, your trip must be paid in full by the final-payment date shown on your trip page, and in any case no later than 60 days before departure.
If a scheduled payment is missed and stays unpaid after we've reached out, we may treat the booking as cancelled by you, in which case the cancellation terms below apply. If you're ever in a tight spot around a payment, talk to us — we'd much rather work something out.
05: If you need to cancel
Life happens, and sometimes plans change. Here's how cancellations work if you need to step back from a trip:
- More than 6 months before departure: you'll receive a full refund of everything you've paid, minus the non-refundable $250 deposit.
- Within 6 months of departure: we're unable to offer a refund, because by then we've committed your spot's costs to accommodations, guides, and local partners who hold those arrangements for you.
To cancel, just let us know in writing (email is perfect) — your cancellation takes effect on the date we receive it. This is exactly the situation travel insurance with trip-cancellation coverage is built for, which is why we require insurance and strongly encourage a policy that reimburses cancellations.
If you'd rather not lose your spot entirely, remember you can transfer it to someone else — see the next section.
06: Transferring your spot
Can't make it but know someone who'd love to go? You're welcome to transfer your booking to another person, as long as they meet the requirements for that trip (including any fitness or experience requirements) and are happy to agree to these terms and complete the waiver and insurance steps.
Let us know as early as you can so we have time to make the switch. If a supplier — say an airline-linked booking, a permit, or a name-specific reservation — charges a fee to change the name, we'll pass that actual cost along to you, but we don't add a markup for making the transfer.
07: If we change or cancel a trip
Adventure travel is, by nature, a moving target. We reserve the right to make changes to any trip — including the itinerary, route, activities, accommodations, guides, or timing — where weather, safety, conditions on the ground, or supplier availability call for it. Most changes are minor, and our aim is always to keep the spirit and quality of the trip intact.
Because our groups are small, each trip needs a minimum number of travelers to run. If we don't reach that minimum, or if circumstances make a trip unsafe or unworkable, we may cancel it. If we cancel a trip outright, you'll be offered either a transfer to another trip or a refund of the money you've paid to us for that trip.
08: Travel insurance (required)
Comprehensive travel insurance is a condition of joining any Far Out trip — it's not optional, and we'll ask for proof of your policy before departure.
At a minimum, your policy must cover emergency medical care and emergency evacuation and repatriation, and it must cover the activities on your specific trip (for example, off-piste/backcountry skiing, cycling, or travel in remote areas — some standard policies exclude these, so check the fine print). We also strongly recommend coverage for trip cancellation and interruption, lost baggage, and delays.
It's your responsibility to arrange appropriate insurance and to make sure it genuinely covers what you'll be doing. We're not able to advise on specific policies, and we're not responsible for any loss, cost, or medical expense you incur because you didn't have adequate insurance in place.
09: Your liability waiver (required)
Before you participate in any trip, you'll be asked to read and sign our separate, comprehensive Liability Waiver, Release & Assumption of Risk agreement. That document goes into detail about the specific risks of adventure travel and the terms on which you take part.
These Booking Terms & Conditions and that waiver work together — one doesn't replace the other. Signing the waiver is a requirement for travel, and we're not able to let anyone participate without it.
10: Passports, visas & entry
Getting yourself legally across borders is your responsibility. You'll need a valid passport, any required visas or entry permits, and any vaccinations or health documentation required for your destination. Requirements depend on your nationality and can change, so check official sources well ahead of time.
We're always happy to share what we know and point you in the right direction, but we can't be responsible for a missed trip or denied entry due to incomplete or incorrect travel documents. No refund is available if you're unable to travel for these reasons.
11: Health, fitness & honest disclosure
Our trips ask something of your body, and different trips ask different things — deep-powder skiing and lift-accessed backcountry terrain are a world apart from a cycling safari or a coastal artisan trip. Each trip page describes who it's designed for and what level of ability or fitness it assumes. By booking, you're confirming that you can reasonably meet those demands.
Please tell us about any medical conditions, injuries, allergies, dietary needs, or accessibility requirements that could affect your participation or that our guides should know about. We'll treat this information with care and do our best to accommodate you — but honest, complete disclosure is what allows us to keep you and the group safe.
Some activities require specific equipment or competencies (for example, a beacon, shovel, and probe — and the knowledge to use them — for backcountry terrain). Where a trip has requirements like these, they'll be spelled out, and they're non-negotiable for safety reasons.
If, in the reasonable judgment of Far Out or our guides, someone isn't able to safely take part in an activity — or their participation puts themselves or others at risk — we may ask them to sit that activity out or, in serious cases, to leave the trip, without a refund. We don't take this lightly and will always try to find a workable alternative first.
12: The nature of adventure travel
This is the honest part. Our trips take place in mountains, on bikes, in and around water, near wildlife, and in remote places where medical help and communications may be far away. Activities such as skiing, snowboarding, backcountry and avalanche-terrain travel, cycling, hiking, water-based activities, and wildlife viewing carry inherent risks — including the risk of serious injury, illness, or death — that even the best planning and guiding cannot remove.
By joining a trip, you understand and accept those inherent risks as part of the experience. You agree to follow the reasonable instructions of your guides and to make sensible decisions about your own participation. Our full Liability Waiver covers this in detail, and you'll confirm your understanding of it before you travel.
13: Our guides & local partners
To give you the real, local, done-well version of every place we visit, we work with independent guides, operators, accommodations, and transport providers on the ground. These partners are chosen for their expertise, and they carry their own qualifications, certifications, and insurance appropriate to what they do.
Because these partners are independent businesses rather than employees of Far Out, their own services are provided subject to their terms and standards. We take real care in selecting who we work with, but we aren't liable for the independent acts, omissions, or default of third-party suppliers. Where something goes wrong with a supplier, we'll always do our best to help you sort it out.
For most Far Out trips, your booking contract is with Far Out, LLC. We're the ones you pay and the ones responsible for delivering the trip as described, and we bring in independent guides, accommodations, transport, and other suppliers on the ground to make it happen.
Some of our trips — including certain of our Kenya trips — are operated jointly with a local partner organization. Where that's the case, we'll identify the partner on the trip page, and your booking is with both Far Out and that partner: Far Out for the parts we handle, and the partner for the services they operate directly. That partner's own terms and conditions may also apply to its portion of the trip, and the partner is responsible for the services it provides. We'll always make it clear at the time of booking when a partner is involved in this way.
In either case, many of the day-to-day services — lodging, transport, activity providers — are delivered by independent businesses that carry their own qualifications, certifications, and insurance appropriate to what they do. We choose our guides and partners with real care, but Far Out isn't liable for the independent acts, omissions, or default of third-party suppliers. Whenever something goes wrong with a supplier or partner, we'll do our best to help you put it right.
14: Behavior & our community
Far Out trips are built to be genuinely welcoming — real safe spaces, not just the flag-in-the-window kind. In return, we ask everyone to help keep them that way. We have a zero-tolerance policy for harassment, intimidation, discrimination, and verbal or physical abuse of any traveler, guide, partner, or member of the communities we visit.
We also ask that you respect local laws, customs, and the environment, and that you follow safety guidance from us and our guides. If someone's behavior seriously undermines the safety, wellbeing, or enjoyment of the group, we reserve the right to remove them from the trip, at their own expense and without a refund. Any onward costs are theirs to bear.
15: Photos & media
Our trips are beautiful, and we love to share them. From time to time we take photos and video that may feature travelers, and we may use these to show what our trips are really like — on our website, social media, and marketing. By joining a trip you agree we can do this.
If you'd prefer not to appear in our marketing, that's completely fine — just let us know in writing before or during the trip and we'll respect it.
16: Limitation of liability
Nothing in these terms limits any liability that can't legally be limited — including liability for death or personal injury caused by our own negligence, or for fraud. Subject to that, and to the fullest extent permitted by law:
- We aren't liable for loss, injury, damage, or expense arising from the inherent risks of the activities, from your own acts or omissions, or from the independent acts of third-party suppliers.
- We aren't liable for events outside our reasonable control (see the next section).
- We aren't liable for indirect or consequential losses, such as missed connections, lost earnings, or separately booked arrangements.
- Where we are found liable to you, our total liability to you is limited to the amount you paid us for the trip in question.
This section works together with — and does not replace — the separate Liability Waiver you'll sign before traveling.
17: Events outside our control
Sometimes things happen that no one can plan around — what the lawyers call "force majeure." This includes events like extreme weather, natural disasters, avalanche or wildfire conditions, pandemics and public-health emergencies, war or civil unrest, terrorism, border or airport closures, strikes, and government restrictions.
If an event like this affects a trip, we'll do everything reasonable to adapt, reschedule, or minimize disruption, and we'll keep you informed. But we can't be held liable for changes, delays, or cancellations caused by circumstances genuinely beyond our control — another reason comprehensive travel insurance matters.
18: Your privacy
We collect the personal information we need to plan and run your trip — things like your contact details, travel documents, insurance details, and any health or dietary information you share with us. We use it only to deliver your trip and to communicate with you, and we share it with guides, partners, and suppliers only as needed to make your trip happen.
For the full details on how we handle your information, see our Privacy Policy at [link to your Privacy Policy].
19: Governing law
These terms are governed by the laws of the State of Colorado, USA, without regard to conflict-of-laws rules, and you agree that the courts of that state have jurisdiction over any dispute arising from them. If any part of these terms is found unenforceable, the rest stays in full effect.
20: Changes to these terms
We may update these Booking Terms & Conditions from time to time — for instance, as we add new destinations or refine how we run things. The version that applies to your booking is the one in effect on the date you booked, which is why we keep a "last updated" date at the top of this page.
21: Questions? Talk to a human
If anything here is unclear, or you just want to talk it through before booking, we'd genuinely love to hear from you. Reach us at hello@letsgetfarout.com and a real person will get back to you.
Thanks for reading the fine print — now let's get you somewhere far out!
